This notice explains what personal information the Tottington Woodlanders collect through this website, why, and what we do with it. We are a small volunteer-run charity and we keep as little as we can.

Who we are

Tottington Woodlanders is a registered charity (a charitable incorporated organisation) that looks after Tottington Wood in Small Dole, West Sussex. We are responsible for the personal information described here. To ask about it, send us a message.

What we collect and why

When you send us a message

Your name, email address and message, so that we can reply. We do this because we have a legitimate interest in answering people who contact us.

When you ask to become a member

Your name, email address, how many adults and juniors are joining, and anything else you tell us, so that we can arrange your membership and payment. We do this to provide the membership you asked for.

When you sign up to The Woodland News

Your email address, your first name if you give it, and a record of when and where on the website you signed up. We only send The Woodland News because you asked for it, and you can stop it at any time with the unsubscribe link at the bottom of every email.

Volunteers who look after the website

Each volunteer with a login has their name, email address and password stored. Passwords are stored in a scrambled form that nobody, including us, can read back.

Who else handles it

We do not sell or share your information with anyone for their own use. Two companies handle it on our behalf:

  • Cloudflare hosts this website and its database, and checks our forms for spam.
  • Brevo keeps the mailing list for The Woodland News and sends it.

Cloudflare is based in the USA and Brevo in France. Where they handle information outside the UK, they do so under safeguards recognised by UK law.

If you follow a link to Facebook from this website, Facebook’s own privacy policy applies to what you do there.

How long we keep it

  • Messages and membership requests: up to 2 years, then deleted.
  • Woodland News sign-ups: until you unsubscribe. Brevo keeps the mailing list, including when you signed up. The website passes your sign-up to Brevo and deletes its own copy 30 days later, or after 90 days if it could not be passed on.
  • Volunteer logins: until the volunteer stops helping with the website.

Cookies

This website only sets one cookie, and only for volunteers who log in to look after the site. It is needed to keep them logged in and is deleted when they log out. We do not use any analytics or advertising cookies.

Visitor numbers

To see which pages are useful and how people find us, a small script on each page tells this website when the page is opened. It sends the address of the page, the name of the website that sent you here (for example Google or Facebook, never the full link), whether you are using a phone, tablet or computer, and whether the page exists. The website adds these to daily totals and keeps nothing else: no IP address, no cookie, and nothing that could tell one visitor from another. Nobody else receives this information. Visits by volunteers who log in to look after the site are not counted.

You can stop your visits being counted with the button below. Your choice is remembered in this browser only. If your browser sends a Global Privacy Control signal, your visits are not counted either.

Visits are only counted by a script, and this browser is not running scripts on this page, so nothing is being counted.

Your rights

You can ask us for a copy of the information we hold about you, ask us to correct it, or ask us to delete it. You can also object to how we use it. Send us a message and we will reply within a month.

If you are unhappy with how we have handled your information, please tell us first. You also have the right to complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.

Changes to this notice

If we change how we use personal information, we will update this page.

Spend a Sunday in the wood

No experience needed and no commitment expected. Bring a mug and wear old clothes. We supply the tea, the tools and the good company.
